How Proplio collects, uses and looks after your personal information when you use this website or get in touch with us.
Last updated: 7 October 2026
Proplio ("we", "us", "our") provides property maintenance, void works and refurbishments for landlords and letting agents in Nottingham and the surrounding areas. We're responsible for the personal information described in this policy. If you have any questions about it, email us at hello@proplio.co.uk.
We only collect what we need to deal with your enquiry and carry out work. This may include:
Contact details: your name, email address and phone number, when you fill in a form on this website or email us.
Enquiry and property details: what you tell us about the job, such as the property address or postcode, the work needed, timings and access arrangements.
Details about others you share with us: for example, a tenant's name and contact details so we can arrange access to a property.
Website usage information: how you use this website (such as pages visited, device and browser type, and approximate location), collected through Google Analytics cookies. See "Cookies" below.
To reply to your enquiry, answer your questions and prepare a scope of works or quote.
To arrange, carry out and hand over the work you ask us to do, including arranging access.
To keep records of our work and meet our legal and accounting obligations.
To understand how our website is used so we can improve it.
Under UK data protection law we rely on: taking steps at your request before entering into a contract, and performing that contract (when you ask for a quote or we carry out work); our legitimate interests in responding to enquiries and running our business; legal obligations (for example, keeping financial records); and your consent for non-essential cookies where it is required.
We never sell your information. We only share it where needed to provide our service, with:
Trusted tradespeople we coordinate to carry out the work you've asked for, limited to what they need (for example, the property address and access details).
Service providers who help us run the website and our business, such as our website host and email providers.
Google, which provides the analytics on this website.
We may also share information if the law requires us to.
If a landlord or letting agent gives us your contact details, we use them only to arrange access and carry out the work at your home, and to keep you informed about it.
We keep enquiry details only for as long as we need them to deal with your enquiry. If you become a customer, we keep records for as long as needed for the work and for legal and accounting purposes, which can be up to six years. Copies of messages sent through our website forms are also stored securely in our website system and deleted on the same basis.
This website uses Google Analytics (through Google Site Kit) to understand how visitors use the site. It sets cookies (such as _ga) that collect information like the pages you visit and how long you stay. This information is aggregated and we don't use it to identify you. You can block or delete cookies in your browser settings at any time.
Some of our service providers, such as Google, may process information outside the UK. Where they do, they're required to protect it with appropriate safeguards recognised under UK data protection law.
We take reasonable steps to protect your information from loss, misuse and unauthorised access, and limit access to those who need it.
You have rights over your personal information, including the right to:
Ask for a copy of the information we hold about you.
Ask us to correct anything that's wrong or incomplete.
Ask us to delete your information, or restrict how we use it.
Object to how we use your information.
Withdraw your consent at any time, where we rely on it.
To make a request, email hello@proplio.co.uk. If you're unhappy with how we've handled your information, you can complain to the Information Commissioner's Office (ICO) at ico.org.uk or on 0303 123 1113.
We may update this policy from time to time. The latest version will always be on this page, with the date it was last updated at the top.
